Job description
Our tax team is seeking an administrative support professional for the downtown Chicago office. This opportunity is ideal for the administrative support professional who is familiar with the professional service provider environment and is enthusiastic to further develop their career with a “Best Place to Work” employer within the Chicago area.
The Administrative Assistant for our Chicago office will provide expertise in following processes and provide exemplary client service internally and externally. This role requires an experienced professional who exhibits sound judgement, attention to detail, and a strong work ethic; they value integrity, and it shows in their quality of work.
Duties and Responsibilities
This list of duties and responsibilities is not all inclusive and may be expanded as management may deem necessary from time to time.
Exude professionalism and warmth as the “face of the team” when greeting clients and directing them to the appropriate team member or accepting documents, etc.
Answer incoming calls and promptly respond to client inquiries as able or pass along to the appropriate parties.
Intake and distribute incoming mail and package and ship outgoing mail using the appropriate carrier
Schedule internal and client meetings, order lunches and supplies. Keep office and kitchen stocked and tidy.
Coordinate with vendors and building management for office related upkeep and visitor registration
Receive, analyze, and digitize client documents while following firm policies and procedures for document sharing and filing. Ensure proper treatment of documents and distribution to the appropriate engagement team.
Prepare deliverables for transmittal to clients consistent with firm’s policies and procedures, including reviewing for accuracy, packaging paper deliverables and utilizing firm software to transmit electronic deliverables.
Update client databases to ensure firm-wide accuracy and create specialized reports as needed for management.
Complete special projects and perform other duties as assigned.
Follow and comply with all safety and work rules and regulations. Maintain departmental housekeeping standards. Remain current in firm technologies
Job requirements
• Has at least 2 years of professional administrative support experience, preferably in accounting or legal environment
• Demonstrates strong communication and client service skills: personable and succinct
• Solid Microsoft Office Suite experience; particularly Excel
• General electronic database knowledge
• Superior attention to detail
• Possesses a strong sense of urgency to complete responsibilities efficiently and accurately
• Self-motivated with a positive attitude, and able to work independently and proactively
• Ability to work out of our Chicago office (Additional Saturday hours will be mandatory from February to mid-April each year.)
• Interest in learning more and taking on more responsibilities
